2023 Annual General Meeting Invite

The Buccaneers Executive Committee would like to invite you to our club’s 2023 Annual General Meeting (AGM), January 28th 2024 at 10:30AM. This year AGM will be hosted virtually on Zoom.

As outlined in our club’s bylaws:

  • We are holding this AGM before the end of January 31
  • This email is the 15 days advance notice for the AGM
  • This email is also be posted on our website

The AGM is where the club’s Executive Team has a chance to discuss all our club businesses with its members and give you a retrospective on the past year. The Executive Committee is then elected to run every aspect of our club, including finances, sponsorships, fundraisings, on field performances, social events and club growth. We have much to celebrate and discuss as a club and we would love to see all of our registered members attending.

The meeting will be chaired by Club Secretary Leo Sauvaget. As club members, you have voting rights at this meeting. Anyone who was a registered member of the club for the 2023 and in good standing can vote at the AGM. This including playing members such as senior men’s, senior men’s university students, masters/old boys and U16/U18 juniors, as well as non-playing social members in good standing.

ALL EXECUTIVE POSITIONS ARE OPEN FOR ELECTION THIS YEAR. Positions labelled vacant will be NOT be contested by the incumbent member, otherwise the existing member HAS decided to seek re-election.

Here is the list of all the positions available and current holders or vacancy when applicable:

  • President² – Richard Williams
  • Treasurer² – Dean Spencer
  • VP Senior Men’s Rugby² – Daniel Briggs
  • VP Junior’s Rugby² – Sultan Butt
  • Director of Recruitment¹ – Vacant (previously held by Brian Kennedy)
  • Director of Social Events¹ – Joshua Jacobs
  • Director of Funding¹ – Vacant (previously held by Jeffrey Dymond)
  • Director of Mini’s Rugby¹ – Vacant (previously held by Alex Miles)
  • Director of Communications¹ – Viktor Zhou
  • Equipment Manager¹ – Vacant (this position was previously known as the General Executive and will be repurposed for 2024, formerly held by Kyle Watkinson)
  • Secretary ¹- Leo Sauvaget

1- Director positions have a one-year commitment

2- Vice-president positions have a two-year commitment

In order to run for a position, you require a nominator and a seconder (one other person that agrees to put your name forward). A member can nominate themselves. A non-member cannot be nominated for a position. All players are members, as well as non-playing members in good standing.

Nominations can be sent via email with the name of their seconder to the club’s secretary Leo Sauvaget at secretary@buccaneersrugby.com no later than January 24 2024 11:50PM.

If we don’t have any nominations for a position at the AGM, nominations will also be taken during the meeting.

If current VP’s, President and Directors state they would like to continue in their current positions and if there are no challengers to their position, they would then continue to volunteer on the executive leadership team for another year.

If you are unable to attend the AGM, you can proxy your vote, giving another attending member the ability to vote on your behalf. Please notify us of your proxy voter via email to to the club’s secretary Leo Sauvaget at secretary@buccaneersrugby.com no later than January 24 2024 11:50PM.

The agenda for the AGM will be shared in a separate communication before the AGM.
